TOURNAMENT SCHEDULE Pre-Championship Conference Call Monday, Oct. 27, 10 a.m. Course Review Friday, October 31, 3-6 p.m., Gettysburg College Coaches Meeting Saturday, November 1, 9:45 a.m., Finish Line Men's Championship 8K Race 11 a.m. Women's Championship 6K Race 12 noon Junior Varsity Race (held at discretion of host institution) 12:45 p.m. Awards Ceremony 1:30, Hauser Fieldhouse II. GAMES COMMITTEE The Conference Office will name a games committee to assure the proper conduct of the tournament championship. The committee will generally be comprised of, but not limited to, the host Director of Athletics and/or Senior Woman Administrator, and representatives of the visiting team and the Conference Office. SUSPENSION OF CHAMPIONSHIP The liaison for the committee - Jamie Smith, McDaniel College - should be "on call" in the event that an unforeseen emergency causes the suspension of the championship. The liaison will serve as an administrative component in the decision-making process along with the administrators on the games committee. For the safety of all spectators, student-athletes, officials and coaches the following will be used in case of severe weather (e.g., cold temperatures and / or heavy snow): 1. The meet director and the Conference Executive Director will monitor the weather during the week and morning of the championship. 2. If there are expected delays due to weather at the championships, at the coaches meeting, the coaches should be given a central information location and/or phone number to call for information on delays and/or postponement. The host can then leave a message at that number alerting coaches of different start times or a delay in course inspection times due to inclement weather or frost. This number should be placed in the information with the coaches packets and on the meet website. 3. The games committee will determine whether the start of the meet should be delayed or if the meet should be postponed until the following day. 4. If the race has already begun and would have to be suspended in the middle of the competition the NCAA Track and Field Committee would recommend the following: Womens 6,000 meter - if competition is suspended before the 2000 meters mark you may run the same day with a two-hour delay. If competition is suspended after 2000 meters we would recommend postponement until the next day. Mens 8,000 meter - if competition is suspended before the 3000 meters mark you may run the same day with a two-hour delay. If competition is suspended after 3000 meters we would recommend postponement until the next day. 5. If necessary, competition may be postponed until Sunday. IV. EXPENSES The host institution is responsible for securing and paying the personnel needed to ensure the best possible operation of the championship, including: security timers officials public address announcer All game management expenses are paid by the host institution. The host institution will be reimbursed for officiating expenses. Hosts should complete the attached budget report and return to the Conference Office immediately following the championship. V. CHAMPIONSHIP TROPHY The previous year's champion is responsible for bringing the championship trophy to the championship site. The trophy must be engraved (updated) by the previous year's champion. The Centennial Conference championship trophy will be presented after the presentation of individual medals. VI. CHAMPIONSHIP ADMINISTRATION Box-Draw Instructions Boxes are drawn by the meet director or the games committee preferably prior to the coaches meeting. All boxes are drawn randomly. Coaches' Information The host institution is responsible for sending an informational mailing/email to all participating Conference institutions. The mailing should contain the following: Meet Director's contact information Coaches' Meeting - time, location Link to entry website Course Map Parking Instructions (buses and spectators) Availability/Location of showers and locker rooms Hotel accommodations and contact information Availability of medical staff and location Coaches' Packets Packets should be distributed at the coaches' meeting. The following items should be included: a. Schedule of events (including meet day schedule, starting information). b. List of host institution's telephone numbers and home telephone number for meet director. c. Two copies of the course maps with the mens and womens courses on separate sheets. d. Training room hours and location. e. Event program. f. Results information. g. Safety pins. h. Bib numbers and/or hip numbers. i. Box draw information. j. Inclement Weather Procedures Crowd Control The responsibility for crowd control rests with the director of athletics of the host institution. Host institutions must provide adequate security for effective crowd management (see below). The host Director of Athletics or Senior Woman Administrator shall be prepared to use the public address system at the first sign of unsportsmanlike crowd behavior and request cooperation in maintaining proper playing conditions. The following announcement should be made: "The Centennial Conference promotes good sportsmanship by student-athletes, coaches and spectators. We request your cooperation by supporting the participants and officials in a positive manner. Profanity, racial or sexist comments, or other intimidating actions directed at officials, student-athletes, coaches or team representatives will not be tolerated and are grounds for removal from the site." Course Review The championship course must be available for review for teams on the Friday prior to the meet. Entries An entry fee of $10 per individual should be made payable to "Gettysburg College." Teams are required to submit names of all eligible athletes to compete by Friday, Oct. 24. Coaches will declare their 12-person team at the coaches' meeting. Finish Line Camera The host site must have a finish-line camera as a minimum standard. Officials The host institution must have at least five (5) paid officials to ensure a first-class competition. The officials can be used to cover responsibilities such as starter, head timer, finish judge, finish line crew, scorer and course marshals. Programs The host institution is responsible for the production of 500 programs. Results The host Director of Sports Information is responsible for contacting the following outlets with the score and submitting a copy of the official box score immediately following the contest: NCAA, Conference Office, the SIDs of all participating teams, and to local and regional media. Tickets No admission charge will be assessed at the tournament. Tiebreaker for Determining Team Champion The NCAA regional tiebreaker will be used to decide the winner of a conference championship tie. The tiebreaker will compare the place finish of each team member 1-2-3-4-5 versus their respective competitors on the opposing team (Team A's first finisher vs. Team B's first finisher, etc.) The winner is the team winning the majority (best of five) of the comparisons. If more than two teams are tied, the criteria is applied in the same sequence until only one team remains. If the tie cannot be broken using the five-point system, the average time of each team's top five finishers will be used. VII. COURSE and EQUIPMENT CHECKLIST Course Checklist ______ 1. The length of the course shall be 6,000 meters for women and 8,000 meters for men. The men will run first on even years, the women on odd years. ______ 2. Arrange for a public address system at the course. Use the system and announcer for race countdown and announce race progress. Station personnel with hand-held radios at each mile mark to report race progress to announcer. ______ 3. Provide barriers to secure important areas. Place rope, or fencing, 30-40 feet behind boxes to keep spectators and coaches out of start area. ______ 4. Make signs to indicate start, finish and mile marks. Also, make signs with directions to site from headquarters. ______ 5. Provide two video/FAT cameras on scaffolding 10 feet high at the finish line. The FAT towers should be in line with the designated finish line, 10 feet wider than the course. ______ 6. Construct a corral. ______ 7. Provide at least one lead and two trail vehicles (golf carts or gators) for medical use on race day. ______ 8. The course should be flagged and roped at all potential sites of congestion.
